Before You Start

You’ll need:
  • At least one generated report with data to export
  • Appropriate user permissions to access the report type
  • A program, course, instructor, or job selected in the report settings
Export functionality is only available when report data has been successfully loaded. If a report is still loading or shows no data, the Export button will be disabled.

Available Export Formats

Mapademics currently supports Excel (.xlsx) format for all report exports. This format provides:
  • Formatted data with proper column headers and styling
  • Multiple sheets for complex reports (like Skills Gap Analysis)
  • Professional formatting including currency, percentage, and number formats
  • Structured data that preserves relationships between metrics
All exported files follow the naming convention: Mapademics - [Entity Name] - [Report Type].xlsx (for example: “Mapademics - Computer Science Program - Skills Gap Analysis.xlsx”)

Exporting Program Reports

Program reports offer the most comprehensive export options, with different formats depending on the report type selected.

Skills Gap Analysis Export

The Skills Gap Analysis export creates multiple Excel sheets—one for each occupation analyzed:
  1. Configure your report settings with the desired program
  2. Select “Skills Gap Analysis” as the report type
  3. Click “Export to Excel” once data has loaded
Export structure:
  • Sheet per occupation: Each Standard Occupational Classification (SOC) gets its own sheet
  • Skills breakdown: Lists all required skills with relevance levels
  • Course contributions: Shows how each course contributes to skill development
  • Proficiency tracking: Displays acquired vs. required proficiency levels (as percentages)

Course Breakdown Export

Course Breakdown exports show how individual courses contribute to program objectives:
  1. Select your program and choose “Course Breakdown” report type
  2. Click “Export to Excel” when data is ready
Export contents:
  • Program summary row: Overall skill proficiency levels across all courses
  • Individual course rows: Each course’s contribution to specific skills
  • Skill columns: Required proficiency levels shown in column headers
  • Percentage values: All contributions displayed as percentages for easy comparison
Course Breakdown exports are excellent for accreditation reporting and curriculum mapping exercises. They provide clear evidence of how your courses align with program learning outcomes.

Exporting Course Reports

Course-level exports focus on individual course analysis and section comparisons.

How to Export Course Reports

  • Heat map data for skills distribution

Exporting Instructor Reports

Instructor reports provide insights into individual faculty members’ course contributions and skills coverage.

Generating Instructor Exports

  1. Go to the Instructor Reports tab
  2. Choose an instructor from the selection dropdown
  3. Review the loaded report data
  4. Click “Export to Excel” to download
Instructor exports are currently being developed and may not be fully available. Check with your system administrator if you need immediate access to instructor-specific data exports.

Job report exports are currently being optimized for better performance with large datasets. Some exports may take additional processing time depending on the number of jobs analyzed.

Understanding Export File Structure

Single-Sheet Exports

Simple reports like Occupation Crosswalk create single Excel sheets with:
  • Bold header rows for easy identification
  • Properly formatted data (currency, percentages, numbers)
  • Descriptive column names that explain the metrics

Multi-Sheet Exports

Complex reports like Skills Gap Analysis create multiple sheets where:
  • Each sheet represents a different occupation or analysis dimension
  • Sheet names match the occupation codes or entity names being analyzed
  • Consistent column structure across all sheets for easy comparison
  • Professional formatting maintained throughout all sheets
Multi-sheet exports are perfect for creating comprehensive reports for stakeholders. You can easily copy specific sheets into presentation materials or combine data across sheets for further analysis.

Best Practices for Report Exports

Timing Your Exports

  • Wait for complete data loading before exporting to ensure all information is included
  • Export immediately after generating reports for the most current data
  • Re-export if you change report settings to capture the updated analysis

File Management

  • Use descriptive filenames - the system automatically generates meaningful names
  • Organize exports by date if you’re tracking changes over time
  • Keep exports in dedicated folders for easy access during accreditation or planning cycles

Data Validation

  • Review exported data in Excel before sharing with stakeholders
  • Check for completeness by comparing export contents with on-screen reports
  • Verify formatting appears correctly across all sheets and columns
Always review exported data before using it in official reports or presentations. While the system automatically formats data, you should verify that all expected information has been included in your export.

Sharing and Collaboration

Sharing Exported Reports

Exported Excel files are standard .xlsx format, making them easy to:
  • Email to colleagues and stakeholders
  • Upload to shared drives or cloud storage
  • Import into other analysis tools like Power BI or Tableau
  • Include in accreditation reports and institutional documentation

Collaborative Analysis

Use exported data to:
  • Create custom visualizations in Excel or other tools
  • Combine with external datasets for comprehensive analysis
  • Generate summary reports for different audience needs
  • Archive historical data for trend analysis over time

Troubleshooting Export Issues

Export Button Is Disabled

Possible causes:
  • Report data is still loading
  • No data available for the selected configuration
  • Network connectivity issues preventing data retrieval
Solutions:
  1. Wait for data loading to complete completely
  2. Verify your selections in the report settings
  3. Refresh the page and reconfigure your report
  4. Check your internet connection and try again

Export File Won’t Open

Common issues:
  • File may be corrupted during download
  • Excel version compatibility problems
  • Antivirus software blocking the download
Solutions:
  1. Try downloading again from the same report
  2. Use a different browser if the issue persists
  3. Check your Downloads folder for partial or corrupted files
  4. Contact your IT support if Excel won’t open the file
If you continue experiencing export issues, document the specific report configuration and error messages, then reach out to your system administrator or Mapademics support for assistance.
