Tracking applicants through your pipeline
Every applicant carries a status — the stage they're at in your pipeline. New applicants start on New automatically; from there your team moves them forward (or sideways) as the relationship evolves.
This page covers the day-to-day side: setting a status, changing one, filtering by it, and bulk-updating many at once. To define what statuses your organization uses, see Applicant Tracking in the setup section.
Where the status appears
You'll see the status pill in two places:
- The Status column on the Applicants list. One pill per row, color-coded.
- The applicant profile header, next to the assignee badge and the Share button.
Both pills are the same component — same colors, same picker, same behavior.

Changing one applicant's status
From the Applicants list or from the applicant profile, click the status pill. A small popover opens with:
- A search field at the top — useful when you have many statuses.
- The full list of active statuses (archived ones don't appear). The New default is annotated as such.
- A check mark next to the current value.
Pick a new status. The popover closes and the pill updates in place — there's no separate save step. If the update fails (for example, you lost connectivity), the pill snaps back and a toast tells you why.
Filtering by status
The Applicants list supports filtering on Status. Open Filters → Add Filter → Status, choose an operator (typically equals or is one of), and pick the value or values.
The value picker shows:
- Every status in your organization's configuration, with archived ones marked (archived). Archived statuses stay in the filter so you can find — and migrate — applicants who still carry them.
- A special Other statuses bucket at the end. This catches any applicant whose stored status is no longer present in the configuration at all — for example, a status that was deleted before it was archived. If you ever see applicants pile up under Other statuses, that's the signal to either restore the missing status under Applicant Tracking or move those applicants onto a status you still use.
Bulk-updating many applicants at once
When you need to move multiple applicants at the same time — for example, after a phone-screen day — use the bulk action.
- On the Applicants list, select the rows you want by ticking their checkboxes.
- Click Bulk Actions → Set status… in the toolbar.
- In the dialog, pick a status from the list of active options. A separator at the bottom of the list offers Reset to New as a shortcut — useful when you need to send a batch back to the top of the pipeline.
- Click Apply.
The toast confirms how many applicants were updated and to which status. Filters and the rest of the table refresh automatically.
A few things worth knowing
- Renaming a status updates every applicant's pill immediately. The status lives on the applicant as a plain value, so when you change the label of Phone screen to Initial call in settings, every current Phone screen applicant now displays Initial call. No migration step is needed. See Applicant Tracking.
- Archiving a status doesn't change existing applicants. They keep that status until you pick something else for them. Their pill shows the label with (archived) appended so it's obvious the status is no longer active.
- There's no audit log of status changes. If you need a record of when a status changed, capture it in the Notes field on the applicant's Overview tab.
