Applicant Outcome Surveys

Outcome surveys on the applicant

Consent and eligibility for one applicant, what they receive by email, and where their answers show up.

Outcome surveys on the applicant

Once your admin has set up Applicant Outcome Surveys, eligible applicants are emailed after they have sat in a trigger status for the configured number of days, asked whether they found a job. This page is the coach's side: the two switches on the applicant, what the applicant receives, and where to see what happened.

The Outcome Surveys sheet

Open an applicant and click Outcome Surveys in the active-resume bar, next to Copy upload link. The sheet holds two independent switches and the applicant's history.

Whether the applicant has agreed to be contacted about their job search. The line under the switch tells you how the current state came about:

  • Not yet asked.
  • Given … through the resume upload form. — the applicant submitted through the widget, which shows your consent notice.
  • Given …, recorded by … — a coach attested to it.
  • Withdrawn … by … or … by the applicant. — turned off by a coach, or the applicant unsubscribed.

Eligibility

Whether the applicant is in the survey program. The line under it says where they stand:

  • Not eligible.
  • Eligible since …, set by … Waiting for a trigger status. — eligible, not yet in a status with a trigger, or not there long enough.
  • … No coach assigned. — eligible, but your organization does not survey unassigned applicants. Assign a coach and the sequence can start.
  • … Sending. — emails are going out.
  • … Answered yes. / Answered no. Still sending. / Answered no, then no further reply. / No reply. — how it ended, or how it stands.

When one switch affects the other

  • Turning Communication consent off while the applicant is eligible asks first: Withdraw consent? Confirming withdraws consent and removes eligibility together.
  • Turning Eligibility on when consent is not given asks first: Make this applicant eligible? Confirming records that the applicant consented to communication from your organization, with you as the person who attested to it, and makes them eligible.
  • Turning Eligibility off never touches consent. Turning consent on by itself never makes anyone eligible.

History and Response

History lists what has happened, newest first, with who did it and the date: made eligible, sequence started, survey sent, reminders, answers, the submitted survey, the sequence finishing, unsubscribes and eligibility being removed. Response appears once the applicant has submitted the survey, with every question and answer as they were asked.

Who is eligible automatically

You do not have to open the sheet for every applicant:

  • Add Applicant and Applicant Import both carry an Eligible for Applicant Outcome Surveys toggle. Its starting position comes from the Coach-created applicants setting; leaving it on records consent with you as the attester and makes the applicant eligible as they are created. See Adding applicants and Bulk-importing data.
  • Applicants who submit through the Resume Upload Widget become eligible on submission when the Resume upload widget setting is on. See The Resume Upload Widget.

Applicants who were in your workspace before the feature was turned on start with consent Not yet asked and are never made eligible automatically.

What your applicant receives

The email is the one your admin wrote under What will be sent. Out of the box it asks How did your job search go?, carries two buttons, is signed with your name and email, and ends with an unsubscribe line. Replies to the email come to you.

Yes. The applicant moves to the final status your admin chose, the sequence ends, and they are taken to the active survey. After submitting they see the thank-you page. A survey link opened weeks after the email still works and still counts.

No. The applicant sees the After "No" page, which by default points them back to you. Reminders continue on the configured spacing until the total number of sends is reached; a later Yes replaces the No.

Unsubscribe. The link opens a page that asks before doing anything. Confirming withdraws consent and removes eligibility, and the sheet reads Withdrawn … by the applicant. from then on.

An applicant who never answers is not chased forever. The sequence finishes after the last send and the sheet reads No reply. A finished applicant is not asked again on their own; to start over, turn Eligibility off and on again.

Where to see it

The applicant's Activity tab carries the full record: an Outcome survey figure in Highlights with the current standing, and an Outcome Surveys table listing every step with who did it and when. See The applicant profile. The org-wide picture is on the Outcome Surveys page.
