Terms you will encounter in the Transfers app and throughout these docs.
Approve / Approved
The act of locking in a particular candidate as the equivalent for a transferring course, and the resulting status on the row. A package is complete when every course has been resolved — either approved against a candidate or explicitly marked No Equivalent. The bulk button at the top of the Course Equivalencies tab is a single dynamic button: Approve All Best Matches with no selection, or Approve N Best Matches when rows are checked. Replaces the older "Pin / Pinned" framing — same operation, clearer name. See Matching course equivalencies.
Approved Equivalencies (view)
A workspace-wide sidebar view showing every approved equivalence across every package. Filterable by free-text search and transferring institution. Click a row to expand it and see the same candidate card the equivalence carries on its package's Course Equivalencies tab, the reviewer's name and any reviewer comment, plus a link back to that package. Candidate Match
A course from your home-institution catalog that Mapademics suggests as an equivalent for a transferring course. Every candidate carries a percentage score, three check signals, and a written justification. Visible in the Candidate Matches section of an expanded row on the Course Equivalencies tab. Course Equivalencies (tab)
The package tab where transferring courses are matched against your own catalog and equivalents are approved. See Matching course equivalencies.
Course Matching (stage)
The package stage during which course equivalencies are being reviewed and approved. See Package stages.
Exclude course
A row-level action on the Transcript Review tab that removes a course from consideration on the package without deleting it from the transcript record. Use it when a transcript line shouldn't be evaluated for credit. See Reviewing the transcript.
External ID
An optional, free-form identifier you can attach to a transfer package — typically the upstream record ID from your registrar's system or SIS. Settable in both the From Transcript and Manual create dialogs, editable from the basic-info popover, and displayed read-only under the package title.
Flag (Reviewer flag)
A toggle on any candidate match — auto or manual — that signals it needs a reviewer's attention. Toggling it open reveals a Reviewer note textarea on the candidate's card for free-form context. The flag icon and note are surfaced everywhere the candidate appears: the row's Home Course Match cell, the candidate card, the Approved Equivalencies view, and the report PDF. Credit Match
One of three match signals. Indicates that a candidate's credit value aligns with the transferring course's credit value.
Home institution
The institution that owns your Transfers workspace — the school evaluating incoming credit. Your home-institution catalog is what every equivalency candidate is drawn from.
Issuing institution
The school that produced the transcript being imported — the one whose name is at the top of the page. Identified during the confirm-institutions step at import. Always exactly one per transcript-based package, and the same as the package's Primary Transferring Institution.
Level Match
One of three match signals. Indicates that a candidate's course level (e.g. 1000-level, 2000-level) is consistent with the transferring course's level.
Match justification
The one- or two-sentence explanation Mapademics writes for every candidate match, explaining why this candidate was suggested for that transferring course. Visible on the expanded row of the Course Equivalencies tab.
Primary Transferring Institution
The institution a package is anchored to — set when the package is created and editable from the package's basic-info popover. On transcript-based packages this is the Issuing institution; on manual packages it's the institution you chose at creation. Always exactly one per package.
Identified As
The right-hand column on the Transcript Review tab, showing which real course in the sending institution's catalog Mapademics has identified for each extracted transcript line. Replaces the older "Matched To" framing — see Reviewing the transcript.
Manual match
A candidate equivalent that was picked by hand from your home-institution library via Select Manual Match, rather than auto-surfaced by Mapademics's scoring. Manual matches carry a purple Manual match pill on their candidate card and coexist with auto candidates in the candidate set, so you can switch between them freely. See Selecting a manual match.
In Verification
A per-candidate decision that parks a candidate while a reviewer gathers more information. Set from the candidate card's dropdown via Mark for verification. It doesn't approve, reject, or change the row's overall status — it's just a marker for the reviewer's own workflow. Multiple candidates on the same row can be in In Verification concurrently. Reject / Rejected
A per-candidate decision that records that the reviewer has actively ruled this candidate out. Set from the candidate card's primary button or its dropdown. Rejecting the currently-approved candidate clears the approval and the row falls back to Review. Multiple candidates on the same row can be rejected concurrently — only one approval is ever live. Rejections don't surface on the report PDF or the Approved Equivalencies page; they're a tool for reviewers working through the row. See Per-candidate decisions.
Reopen for review
An inline action on Reviewed rows in the Transcript Review tab. Click it to move the row back to Review status, which re-enables Manually select course and Exclude course. Available as a link on the row itself and at the top right of the expanded foldout.
Researching
The package-level stage label shown on a card when Mapademics is fetching one of the package's institution catalogs. See Transcript Research (stage). Replaces the older per-row "Researching" status — per-course research is no longer a row state.
Reviewer comment
A free-form comment paired with an approval decision, shown on the Approved Equivalencies page's row foldout under a Reviewer comment heading. Distinct from the Reviewer note, which is attached to a flagged candidate rather than to the approval itself.
Reviewer note
The free-form note attached to a flagged candidate match. Appears as a textarea labeled 🚩 Reviewer note at the bottom of the candidate card whenever the candidate is flagged. The note travels with the candidate — visible on the package, on the Approved Equivalencies view, and in the report PDF.
Sending institution
A general term for any institution credit is being transferred from. On a transcript-based package, sending institutions include the Issuing institution and any Transfer institutions the student brought credit in from. On a manual package, there's just the one.
Transfer institution
A non-issuing institution mentioned on a transcript — usually a school the student took courses at and transferred credit in from to their issuing institution. Resolved during the confirm-institutions step at import. A transcript can have zero of these or many.
Transferring institution
An umbrella term for any institution that's the source of credit on a package — either the Issuing institution or a Transfer institution. A package has one Primary Transferring Institution; transcript-based packages may have additional ones detected at import.
Transcript Research (stage)
The package stage during which Mapademics is fetching the sending institution's catalog before review can start. Automated; no user action required. Shown on a card as Researching X% with a progress bar. See Package stages.
Transcript Review (stage)
The package stage during which transcript-extracted courses are waiting to be confirmed against the sending institution's catalog. Only applies to packages started from a transcript. See Package stages.
Transcript Review (tab)
The package tab where extracted transcript lines are confirmed against the sending institution's catalog. Only appears on packages started from a transcript; hidden entirely on manual packages. See Reviewing the transcript.
Transfer package
The container for everything related to one student's transfer evaluation — extracted coursework, source-catalog matches, approved equivalencies, and the final report. Created from a transcript or manually. See Importing a transcript or Creating a manual package.
Year Proximity
One of three match signals. Indicates that the candidate's catalog year is close to the catalog year the transferring course was taken in.
